2 way sync for Google Calendar

Hi There! I see all the tasks that I have planned for my day on the top of my calendar on the section "All day" and that is great! however, there are several things that would be great to fix and improve, see my notes below:
- when I mark tasks done, the tasks showing in my calendar don't go away. they stay there. if it is a 2 way sync, when I mark something done or moved to another day etc, It should reflect in my calendar, right?
- Any meetings I add under google calendar or that my team adds, they don't over to the calendar in click up. and even when I adjust the time of a task to be done specifically, like it is not updated in the CU Calendar...
am I missing something maybe? let me know. thank you!

As Ivan mentioned, we've been working hard to move the Google Calendar integration to a new platform as well as AppCenter as both are pre-requisites to improving the way tasks sync to Google Calendar.
🎉 Good news - we've now completed this work.
It's been a mountain(!) of work, but we trust this puts us in the best possible place to get this feature right for you.
I know there's been lots of hurdles in this specific part of the software, and I'm keen to make this right for you. Me & the team are going to put real work in, but also want to set your expectations getting this to work 100% of the times won't happen overnight.
Features like this have lots of little nuances, so even though I can tell you that we sync millions of tasks successfully every day, that means nothing if (for you) it's not working. It sucks, I hear you. We'll make it right. 🫡

It looks to me as if this has been an issue for some time, with supposed resolution on July 9. It is now July 25th and I still cannot see any GCal events in my CU GUI. I have attempted several help instructions with no success and also started a ticket for this issue.

I can't believe what I am reading here about how this update broke everything. Once again ClickUp is breaking things while we're trying to run our business with it.
I started getting calls booked through Calendly when I'm not available, because of Clickup no longer syncing to Google Cal. What a nightmare. Embarrassing and now I have to tell my clients this.

Will there be an ability to sync tasks based on anything other than the task location, or will there be the ability to sync based on something more, like Task Type?
My digital agency has a lot of client folders/lists and a lot of tasks/subtasks within those lists. My team works well within ClickUp for general task management, so the tasks that I'd want to sync with Google Calendar are "meeting" task types.

Did you roll out an update or is there a timeline to see this when it will happen?
Perhaps a good thing would be to have some debug info in activity feed mentioning if the task was edited by Google Calendar for example?

Ricardo Clerigo Currently, I think the google calendar does work as it's designed to except when you go to add a new google calendar suddenly it needs to all be re-authenticated and every single one needs to be set up anew. This leads to loads of duplicates inside google calendar as well.
On top of that, the way it works really sucks. I hope you're working on a whole new design. It should bassically work the same way Apples calendar syncs to google - proper two way integration with a better set up for individual calendars. Add the calendar and done - tasks go both ways. I have a feeling that this also links into calendar view improvments on the clickup side as well as proper handling of star and due dates and what these are really supposed to mean - i.e. the way clickup handles scheduling vs project start/due. All this is waaaaaay overdue and I simply can' stress how long I've been waiting for improvements in this area and how utterly excited I am that something is finally being done after all this time.

Jay DiPietro: Please continue to report any issues you see with tasks >> google calendar sync.
More specifically we're sitting at 90% ish success rate (meaning task updates that end up reflecting in as an event update in google calendar) which is up from low 60%s just a few months ago. So I'd expect it to be better now, but please continue to report any issues.
We're also investing in some internal tools to allow us to better debug issues with customers as they show up.

Oh I hate this too. This is definitely something we want to fix. You should be able to resync infinite times and always get the same result.

This type of sync should be set and forget. Completely agree. That's the way I want it to work too, and as you point out, it requires "redesign". It's not going to be overnight but we're on it.

Ricardo Clerigo The calendar sync FROM clickup back TO google calendar is no longer functioning for me now, is it disabled as a result of the changes you are making? It was working OK this morning but had the typical dupes and events which had not properly changed dates...so I noticed the new calendar sync interface in clickup and set it up again in there. Since then, sync is no longer working back to google cal. I disconnected and reconnected my google account in clickup, then even set up new google calendars and new syncs in clickup. In the prior way, events populated in minutes...now it's been a half hour and no events are coming in from clickup. Please advise if the function for syncing is disabled as you make calendar sync changes.

Ricardo Clerigo Thanks for your efforts on this, its a feature that will really uplift the clickup experience for (going by this thread!) lots of folks. Can you help with something? I noticed when I try to initiate 2-way sync with my google calendar, I cannot select my 'primary' google calendar, only supplementary ones i have made. All my meeting invites come to my google hosted email address, and so populate on my 'primary' calendar. I'm left in a position where i cannot consolidate tasks from clickup and meetings from google into a single, bi-directional sync. Do you have a workaround for this? thanks, Jack.

For my team as well as many people providing services with multiple dates it would be incredibly important to also have a possibility to sync custom date fields with google calendar.
Right now my team can only see their availabilities in Clickup for Desktop, as the calendar veiw filters with custom fields also do not work on IOS or IPadOS.

Just like a key process that our entire team uses, that was the entire reason we have invested thousands of staff hours into CU… just like that it’s not going to work??? Are you KIDDING? Nathan Hadsall Hey Nathan, I hear you and others that have this feedback. To clarify, this doesn't apply to existing syncs you've setup but only to new ones. It's also temporary until we re-enable it again which should happen in the next 1-2 weeks.

Ricardo Clerigo I connected the primary calendar and created a secondary to have the two-ways sync.
But both are just not working. Can't see events in Clickup and can't see tasks in secondary calendar.
Looks like the sync is just broker for my account. Tried multiple time to recconect and give the permisiion to support team to access my account.
It is really hard being without sync as have to create event in Calendar manually now.
Hope it won't take more than a week to have at least working feature to sync form Calendar to Clickup.
Attaching the screenshot with my setting. Don't see anything set up wrong.
P.S. For sure, it is kind of strange that I can't set up the connection from ClickUp to Calendar with the primary calendar.

UPD Calendar to ClickUp tasks is now working in my account, but it lloks like it take couple of hours for this (maybe the sync time periods are set up as once per X hours - not sure)

Ricardo Clerigo Please clarify, are you saying that any new syncs to ANY of our google calendars will not work for 1-2 weeks now? We use separate calendars (not our primary google calendar) for syncing from clickup, but they no longer sync since you moved this into App Center. No syncing at all and I've lost all my prior syncs in trying to re-set this up in App Center.

Hey Vladislav Grabovoy - for sure task sync to any google calendar (other than your primary) should be working as expected. The config looks fine from what I can tell from the screenshot.
Some quick troubleshooting:
- Tasks only sync if they have either a start date or a due date or both, make sure that's the case for the tasks you're trying to see
- Tasks can take up to 15 minutes to sync
- Depending on your configuration, tasks may have to be assigned to you in order for them to sync. If that's the case, make sure you're the assignee.
To force a sync, you can just rename one of the tasks or change start / due date.
If this doesn't work, get in touch via support and I'll get those folks to help.

Hey Craig Udit sorry to hear this isn't working for you. To clarify, you CAN sync any list / folder / space to any google calendar OTHER than your primary calendar. These should show up as options in the dropdown (see the screenshot above in the thread). The only limitation that exists for the next weeks until we resolve this is that you can't sync TO your primary calendar.

Ricardo Clerigo Ricardo, that is not the case. I've always used secondary calendars in google for syncing, as shown in attached. They worked OK with all the typical clickup syncing bugs til today, when I setup three new calendars in google and three new syncs to those secondary calendars in clickup. Now nothing syncs, been over an hour, refreshed many times. I frequently have had to setup new calendars for syncing with clickup because there were so many problems with the syncs not updating properly, so Im very familiar with that process. Please contact me directly for a screenshare or screenshots/videos. I've lost the sync ability entirely and am certainly not using primary calendar for syncing to. One of the other posters here reported the same issue

Craig Udit: Gotcha this definitely sounds like a bug. Our ability to track down why specific instances might not be working is limited at the moment, but something the team is actually working on improving this week. Can you submit a support ticket and I'll ask the team to follow-up.

Ricardo Clerigo I already submitted a ticket earlier and will followup there. I cannot stress what a major failure this is for clickup...something as fundamental as calendar sync can't just suddenly stopped working! I noticed the new interface for syncing today...and had a bunch of items incorrectly synced from then old clickup syncing method (which was typical), so I did what I always do and created new calendars just for CU syncing to google and new syncs...and now I've lost all my events and tasks. It's dumbfounding how this can occur. Can you rollback to the prior system and fix this on dev servers? As I was awaiting your reply, three of my dozens of synced tasks showed up on google calendar...about 75 mins later...so maybe they'll show up, but that kind of delay is not acceptable either. I'll have to manually go back to written calendar and re-entering stuff from clickup manually into google until clickup resolves this. Absolutely unbelieveable.

Hey Craig Udit as you can imagine, no one on the team set this up to fail. We're all trying to get this right. This has mine and the team's full attention. Agree with you that even if it works, that kind of delay is not acceptable. Support can roll you back to the previous version if all fails and you're still blocked.

Hey Craig Udit just had a look and indeed can't see any logs to show your tasks are being processed correctly. Here's what I'm doing to fix it: First, I reverted your account to the old version so you're not blocked (support will reach out with more instructions). Second, I asked the team to add a better way to identify why specific instances of tasks and users are not synchronized correctly even with our 94% success rate. The good news is this is going live next week already. After that let's work together to toggle you back into the new version and follow it through to figure out why it didn't work.

The entire day being marked as busy is a huge issue still. The workaround of making a seperate calendar specifically for clickup is the only way to showcase clickup events in calendar but it's not as seamless as it would be with a singular calendar sync

Hey Preston Zen 👋 as you point out, you can sync tasks in lists / folders / spaces to a secondary google calendar which won't affect your primary calendar's availability. I agree it's a bit more work to create that calendar in the first place, but overall seems like a convenient way to still see your tasks next to your calendar and stop that from affecting your primary availability. Did we get the trade-off wrong here? was there a different way you were hoping we do this?

Or to accommodate different preferences have a setting in the calendar app for this? I think the workaround is very poor indeed and it's not needed in any other calendar app I've used.

Is this because for most of your events you actually want that time to show up as busy but for all day events you never do?

Ricardo Clerigo Thats pretty much right. I would say "please add a setting to configure how all day events are marked in my calendar (as either free time or busy time)."
For events that are not all-day this doesn't matter. If they have a time of day set in clickup to start and end, then they should show me as "busy" in my google calendar.
The main reason for this for me is because of calendly scheduling which is linked up to availability on google calendar- it means if I put an all-day task in clickup then no-one can book a meeting with me on Clalendly because it thinks I'm busy - the thing is, the"all-day" task might only be a small one, I just haven't decided what time of the day to do it - and/or it might be flexible meaning I can just fit it in at any time on that day.
ALL my clickup tasks WITHOUT a time should never make me "busy" in my google calendar. If I haven't set a time of day to work on it in clickup , it means it's flexible, not that it will take me all day to do. _ Note that by time, I do not mean date - I literally mean the time of day.
Again, this comes back to the way clickup works for scheduling at the core level - I don't use start and due dates for the beginning and end of projects because I have to use them to set when a particular task is going to be worked on during the day (i.e. to plan my days).
I'm not 100% if this is the intended design, but because there's no other way to plan your day in clickup that's how I use it. So for me "start" and "due" date is really "work on this task from this time to this time on this day", or simply "work on this task on this day" if no time is set -i.e it's an "all day" task.
Does that make sense? I hope so, it seems so hard to explain but I'm sure if you could look at my clickup calendar it'd make sense!
The reason I say to add a setting is that I realise this may not be how everyone who uses clickup want's it to work, so why not give individuals the choice?

Ralph Stokes it does - and it does help. We call them "do dates" or "due dates". Agree with you that it's hard to put work on your calendar for when you want to do that work, but keep that separate to the times the specific task or project is "due". Keep an eye out for the new calendar release, where timeblocking is incredibly better - i think you're going to like it.
Also noted on all day vs specific time requests and how that affects your availability and also why it matters in your workflow with calendly. Great context.

Ricardo Clerigo For a bit more context - personally I don't have as much use for "due dates" as I would for time blocking or "do dates", which is why I currently use the due date as a do date! But it's not ideal how it is. Really looking forward to trying out the new calendar! Will be watching this thread carefully :) Cheers!
