Tag Manager
beta
Manage all your tags from a single menu.
> It would be helpful if there was a list somewhere (on the side bar perhaps?) of all tags and perhaps a count, it would be based on whatever you have selected (i.e. if you are in a project, it should list the tags which are in that project, same for space, and so on).

We are polishing up the last few rough edges and bugs on our side, and plan to start rolling out the beta users by the end of February. As always, timelines are subject to change, but I will keep this message updated with the latest. You will receive an email from me when your Workspace receives access.
I'm reposting the demo clip from my last update for anyone who may have missed it:
Also resharing the Feature Requests that we are tracking as follow-up items here:
- Define tags at the Workspace level (as well as Folder, List level): https://feedback.clickup.com/feature-requests/p/tags-workspace-space-folder-or-list-specific
- View all tasks that use a given tag: https://feedback.clickup.com/feature-requests/p/tags-see-all-tasks-with-a-given-tag
- Show time tracking and Doc tags in addition to task tags

@Caroline Ginty
In this release, which has been published as a beta version, I couldn't quite figure out what problem has actually been fixed! The real issue with ClickUp is that we can't treat tags the same way we treat custom fields — meaning we should be able to define them only at the list or folder level, or identify which tags haven't been used for a long time or aren't connected to any automation, so we can prevent them from being excessively created within a space. Another issue that exists across all areas of ClickUp is the ability to activate or deactivate values that were used in the past but are no longer in use today. This applies to tags as well. We might need to use a tag for just one month and then deactivate it without affecting any of the previously tagged tasks! Honestly, if we didn't have what they've released now, it wouldn't have made any difference.

Caroline Ginty How would we know if we are in the beta group?
Caroline Ginty
Elizabeth Bazan I sent emails to everyone who received access already. I just checked and your Workspace is on that list!

Caroline Ginty - Are there plans to see tags across spaces? That is key for this to be useful. I want to see what tags are used across my workspace.
Another question, are we going to be able to see the list of tasks that the tag is on? Showing the number is helpful in general for understanding utilization in the space, but it would be great to open a view or something that shows all of those tasks in one location.
One other improvement that would be extremely useful is to have the ability to merge tags so we can really clean things up. At the minimum it would be helpful if we could add a tag to all tasks assocated with a tag so we could delete the tag we don't want anymore.
Caroline Ginty
Tenille Diel Thanks for reaching out. For your first question, this is currently a feature request here: https://feedback.clickup.com/feature-requests/p/tags-workspace-space-folder-or-list-specific
We don't have this view in the Tag Manager because tags can currently only be defined at the Space level. While you can create tags with the same name across multiple Spaces, they aren't the same tag under the hood. However, we'd like to support this in the future by allowing tags to be created at the list, folder, space, or Workspace level, similar to how Custom Fields currently work.
For your second question, here is the feature request to see the list of tasks: https://feedback.clickup.com/feature-requests/p/tags-see-all-tasks-with-a-given-tag.
Merging is coming soon! We have a version of tag merging working internally, and just need to fix up a few performance issues before we feel comfortable shipping it with the rest of the Tag Manager.
Definitely upvote those feature requests in the meantime, and keep the feedback coming. Thanks!

Hi everyone! Excited to share another quick update on the Tag Manager. We are putting the finishing touches on it from our internal testing, getting a few last bug fixes and polish items in, and then will be starting to roll it out in Production. I'll update here as soon as we have an exact date for that, but we're very close!
Here's a quick walk-through/demo of how it's all looking: https://share.clickup-stg.com/clip/s/t333/381ede0c-1840-4bfa-95fa-e57413e917c2/381ede0c-1840-4bfa-95fa-e57413e917c2.webm?filename=Tag%20Manager%20Demo.webm?filename=Tag%20Manager%20Demo.webm

Caroline Ginty looks great but please do build in the ability to adjust column spacing and perhaps even order. Screens like this on a wide screen wind up with half of the information on either side of the screen.

Caroline Ginty Awesome! Well done. Merging tags would be a great addition, thanks for the mention ;-).

Caroline Ginty Dear Caroline, great news. Happy to see that this is moving forward.
One question: I see that the tag manager is managed on Space level. Is it possible to allow managing on Folder or List level?
Why? Each project is a Folder at our organisation with lists being Deliverables. People create tags on Folder or List level. Therefore, it would be great to manage tags in more detailed level than Spaces.

Caroline Ginty looks great!

Hej Caroline Ginty, thanks for sharing this really looks great and will be very helpful!
Any plans for Beta or RC-rollout? 😀

It would be great if we could also have answers to these two questions:
- How can the tags we have currently defined in our workspace, as shown in the demo, be assigned to a specific space?
- Is it possible to archive a tag? There are many tags that were used in the past but are no longer relevant. If we delete a tag entirely, it will also be removed from previous tasks, whereas we only want to prevent it from being selectable for new tasks, since the number of tags is getting too high. (This is also a real need for selectable custom fields, and I’m not sure if ClickUp has any plans for this.)
- Is it possible to move or add a tag from one space to another? This wasn’t covered in the demo either.

Caroline Ginty This looks like great start to what will be a useful feature. Thanks for your hard work and for showing us what's coming with your video. I'm looking forward to the beta.

Caroline Ginty Hi Caroline, looks great! However I was wondering if the tag manager will also be available at Workspace level like the custom fields? That would make much more of a difference for my team and I, since we use the same tags across 20+ spaces. Thanks!
Helen Gamage
Caroline Ginty this is looking great. I have one request to show in the tag manager - it is great you show the usage, but would also need to show if it is triggering any automations.... as a task may have 0 usage but still being used... i.e. we have some trigger superagents and then the superagent will remove it as soon as it is run, so the tag is only used for a few seconds but would be critical if anyone deleted it but it would look like 0 usage....

Tomasz Banas: I'll be sharing the beta sign up form here by the end of this week!
Caroline Ginty
Jason Joseph: Thanks for calling this out!
Caroline Ginty
Luke Burrell: We certainly plan to add this as a follow up after we release the first version. Thanks for the feedback!
Caroline Ginty
Melanie von Schorlemer: The Space level organizational structure is reflective of how task tags work today. If you create a tag, it exists on the Space level. We do have another tag feature request here to support tags on other levels of the hierarchy: https://feedback.clickup.com/feature-requests/p/tags-workspace-space-folder-or-list-specific
Definitely appreciate this feedback though!
Caroline Ginty
Michael Guntermann: I'll be sharing the beta sign up form here by the end of this week!
Caroline Ginty
mostafa: Thanks for reaching out! To answer your questions:
- This is already how tags work today; they are defined at the Space level when they are created and can't be moved to another hierarchy level (list, folder, or Workspace).
- This isn't supported today, but is certainly something we can consider adding in the future.
- This is also not supported today, but we do plan to add the ability to merge tags, so a tag could be merged into a tag in another Space to move it in that way, once that functionality is available.
Caroline Ginty
Joseph Plaizier: I'll be sharing the beta sign up form here by the end of this week!
Caroline Ginty
Camille Asselin: Not as part of the first version of the Tag Manager; we do have a separate feature request for this here where you can add your vote: https://feedback.clickup.com/feature-requests/p/tags-workspace-space-folder-or-list-specific
Caroline Ginty
Helen Gamage: Appreciate this feedback! We'll see what we can do once we get the first version of the Tag Manager out.

Would it be possible to merge this related tag manager feature request into this Tag Manager feature?

Would be great to know an update on this by when can we expect this feature to roll out , i kept all my tags cleanup pending after i saw this building 😊

This would actually make tag management a lot more organized. Having a sidebar list with all tags and their counts — filtered by project or space — would save a ton of time. And the option to merge tags is something many tools still miss, even though it solves so many clutter issues.
I deal with similar workflow needs while handling tasks for AC Maintenance UAE, https://acmaintenanceuae.com/ and features like this really help keep things structured. Hope the team considers adding it — it would streamline tag management for everyone.

Global Custom Fields and/or Tags

As an admin managing multiple spaces, I find it challenging to update and maintain tags and custom fields across spaces. Currently, custom fields and tags are space-specific, requiring manual updates for each space when changes are needed. This process is time-consuming and prone to errors, especially as we scale our use of ClickUp.
Requested Features:
Global Custom Field Management:
Create and manage custom fields at a global level, with updates automatically applied across all spaces.
AND/OR
Global Tag Management:
Create tags globally, allowing them to be used across all spaces, and update them universally (e.g., name changes, color adjustments).
Benefits: Efficiency: Save time and reduce errors by managing fields and tags globally.
Consistency: Ensure uniformity across teams, improving cross-space collaboration.
Simplified Admin Work: Streamline management for large teams and workflows.
This feature would greatly improve the admin experience and make ClickUp more scalable for large organizations. Thank you for considering this request.
P.S. If these capabilities are already in here and I couldn't find them...I swear I did try and am happy to be told I'm wrong. :)
