Currently, when a standard "Full Member" user tags, assigns a task to, or invites a guest/limited member, ClickUp automatically adds a paid "Limited Member" seat to the workspace billing without any notification or approval process for the Workspace Administrator.
This creates significant billing disruptions for organizations with strict expense management processes and fixed virtual card budgets. In our case, an unwitting user triggered an unexpected $19 seat charge that caused an automated renewal payment failure, putting our workspace at risk of interruption—all for a seat that was never needed or approved.
Suggested Solution:
Admin Approval Gate: Implement a setting allowing Workspace Administrators to require explicit admin approval before any user action triggers a billing change or adds a new paid seat.
Warning Prompts: Display a clear warning to standard users before they take an action that would incur additional seat charges (e.g., "Assigning this task to a new user will incur a $19/month charge. Request Admin Approval?").
Allowing standard users to inadvertently alter enterprise billing structures without admin oversight is a major administrative control gap. Adding a permission toggle for seat creation will prevent unexpected charges and payment failures across teams.
