Option to set 'Billable' as the default on time logging
in progress
Jon Dean
Most of our work is 'Billable' for clients, but at the moment there's no option to set this as the default.
Currently, time logging is non-billable by default and requires the extra click to set the time as billable, which is often missed.
Having the ability to toggle the default option would be very helpful.
Thanks.

You can now set your default billable preference workspace-wide on the time tracking ClickApp. All spaces will inherit this value, but you can opt to override it per space as well in the space settings. I'm going to leave this request open as we are going to follow up with adding overrides at the folder, list, and task level as well.
And a note on how this works: Anytime you change the task on a time entry the default billable setting for the home space of that task will be used to set the billable status of the time entry. You can then override it per entry if you like as usual.

Great update. Please extend this option to Folders, Lists, and Tasks soon. Any idea when that upgrade will hit?
Anthony C.
Kevin May: No ETA at the moment. We plan to work this in between other major projects, but haven't had an opening yet.

Anthony C. Shoot me the Git repo info and schema and I'll code it up 😉

Billable or non billable per task or list.

Currently, you can adjust at the space level whether a space is billable or non-billable. In our case, a space contains multiple lists, which are projects. We would like to be able to set whether a list/project is billable or non-billable per list/project. The same applies to an even lower level, task level.
We also want to apply the following image to list and task levels.
So, we want to set non-billable and billable options at both the task and list levels.

Anthony C. Implementing this now in our workspace. Thank you so much!!

Anthony C. You rock!!! Thank you soooo much!

Anthony C. this is awesome! Looking forward to the next iteration where we can get granular for setting/unsetting the default on spaces, lists, and folders. In the meantime, this is a major win for our company's operations efficiencies. Huge thanks to you and the ClickUp dev team. 🤓👍
Anthony C.
Jon Rowand: Spaces are there today! Folders, lists and tasks are coming next.

Anthony C. silly me! My miss in haste there. Just went through to set space-levels and lovin' it 😁 Oh wow, I'm noticing some great UI/UX when starting the timer in the top right for this. Having the default as billable for the workspace, starting an empty timer, then add a task that lives in a space that is not defaulted as billable, it will toggle off billable automatically. Changing the task again to a space that is set to billable auto toggles it back on. If I'm seeing that correctly, too cool! Many thanks again! 🥳

Anthony C. thank you all so much for finally implementing this! Very much looking forward to the other important improvements in the time tracking area, especially (billed) status and better reporting. You rock!

Anthony C. hi, do I understand correctly that we can set it for everyone in the whole workspace? I can't find it in the workspace settings
Anthony C.
Monika Milewska: The workspace-wide setting is on the time tracking ClickApp.
Monika Milewska
Anthony C. Can you provide screenshot where to find the setting? I saw the image in the original message, but I can't find that place in my app :)
Anthony C.
Monika Milewska: Here is a help center article on how to access ClickApps: https://help.clickup.com/hc/en-us/articles/6304327753111-Intro-to-ClickApps

Anthony C. Can this be brought to folder or list level as well. Having this on a space level is causing me lots of trouble because I use PARA method's organization style.
Anthony C.
Shreyansh Jain Yes, folder, list, and task overrides will be available in the future. That's why we've left this feature request open.

How do you set the cost for the billable hour?
Anthony C.
Joaquim Daniel Machado Moreira Billable rates aren't directly supported on time entries yet, but it is on our roadmap. Until then there are some options.
If you are needing to bill a client from the time tracking data then the best method is to export the time entries and add billable rates manually via Excel/Sheets. If you have different rates per person you can set up a file with those rates and do a VLOOKUP to pull them into the time tracking sheet based on the assignee of the time entry.
If you would like to see total billable estimates and amounts per task in the app you can use custom fields to achieve this.
- Add a money custom field called "Billable Rate"
- Add a formula custom field called "Billable Estimate"
- Add a formula custom field called "Billable Amount"
The formula fields should just multiply the time estimated and time tracked by the billable rate custom field. You can then use that data in a number of ways including exports, dashboards, etc.
Neither of these are perfect, but they might be helpful and give you a couple of ideas of how to approach this until we have the native functionality you need.
Jana Michelová
And it only took 3 years :))
Meanwhile, I figured a workaround by just having a task dropdown custom field saying either "billable" and "nonbillable".
Of course, this can only be done on the task level. But that's the only one I actually need.
Looking forward to seeing how this goes.

Yay! And thank you! 😇🚀🐿️💰🌴

We are kicking off the engineering work on this one! We'll do it in two stages. First up is a workspace level default setting you'll change on the ClickApp along with the ability to override that setting per space if desired.
Later on, we'll add the same override functionality to folders, lists, and tasks so then you'll have complete control over the default billable setting throughout the hierarchy!
We are squeezing this in between a couple of other major projects my squad is working on, which is why we are breaking it into two parts.

Anthony C.: That's great news! Phase one will be enough for many people
Jackie Cunningham
Anthony C.: Yes! This will be super helpful -- no more forgetting to check "billable" on every time entry. Thank you!!
Patty Tulloch
Anthony C.: Great news!!!!! Thank you and the team so much!
Dino Fejzagić
Anthony C.: That is exactly how I'd imagine this to work. Can't wait.
Efrat Wiesner
Anthony C.: Great!! Any Idea when it will be ready?
what's the plan?
Anthony C.
Efrat Wiesner: We are working this in with other projects we have going on so no firm ETA, but I'm hoping we can complete it in the coming weeks. It won't take too many hours all together, we just have to find those hours within already busy schedules.
Patty Tulloch
Anthony C.: Hi Anthony, just checking to see if this is getting close to release :)
Anthony C.
Patty Tulloch: Yep, just about there. The backend work is complete and the frontend should be done later this week. Then we have to go through QA testing, code review, documentation, etc. before we release it.
