List Owner based Automations
Chantelle Puttagunta (CHPA)
List owners would be a more useful feature if I could set automations on them. I'd like an automation like "When a task on this list due data arrives, then send email to this list owner" or better yet "... then send email to all owners of lists in this folder." From my view, there are no automations or API calls set up for list owners. This would be an improvement to my workflow.

We manage a high volume of clients, each represented as a list in ClickUp and owned by a specific person. We want to:
- Automatically route lists to the correct folder based on list owner
- When a new client list is created and a list owner is set, we want an automation (triggered by list owner) to move that list into the correct folder.
- When list ownership changes, the list should automatically move to the new owner’s folder without manual intervention.
- Avoid manual maintenance and reduce structural drift
- With frequent onboarding/offboarding and occasional rebalancing of accounts, manually moving lists or maintaining structure by hand is not scalable.
- If list owner were an automation-capable field, we could ensure dashboards stay accurate (each person seeing only their client lists rolled up), without constant admin oversight.
- Use list owner as the single source of truth
- Right now, we’re considering a custom field to mimic “list owner” just so that we can trigger automations, which is redundant and confusing.
- Making the native List Owner field usable as an automation trigger (e.g., “When list owner changes → move list / update folder / update custom fields”) would align the data model with how we actually manage responsibility for client accounts.
In short, we need list-owner–based automations to:
- keep views and dashboards accurate,
- automate list placement and reassignment at scale, and
- avoid duplicating “owner” logic in custom fields just to power automations.

Yess! Why do lists even have owners if we can't use it.
