Hide/Archive options in Dropdown & Label Custom Fields without deleting historical data
Mostafa Shabanpour
Currently, there's no way to hide or archive individual options in Dropdown or Label Custom Fields. When an option becomes outdated (e.g., a past year, a deprecated category, a former partner), we're forced to either:
Keep it visible — causing user confusion and incorrect selections, or
Delete it — destroying historical data on all tasks that used that option.
Use cases:
Year-based fields: After a year ends, the old year option shouldn't appear for new selections, but all tasks tagged with that year must retain their data for reporting.
Categories/Departments: Over time, categories evolve. Old ones need to stay for dashboards and historical filtering, but shouldn't clutter the selection list for users.
Partner/Vendor names: When a partnership ends, the name should stop appearing in dropdowns but remain on past tasks.
Proposed solution:
Add a "Hide" or "Archive" toggle per option in Dropdown and Label Custom Fields, where:
Archived options do not appear in the selection picker for new entries.
Existing task data is fully preserved (tasks that already have that value keep it).
Archived options remain available in filters, dashboards, and reports.
(Optional) A "Show archived" toggle in the field settings for admins who need to see or restore them.
This would allow teams to maintain clean, manageable dropdowns over time without sacrificing historical data integrity.
