Dashboard view-only access without access to the underlying data
Sunny See
Summary
Let a dashboard be shared with users (members, limited members or guests) so they can see its cards and charts without being given access to the Spaces, Folders, Lists or tasks behind it.
Current behavior
A dashboard card only shows data from locations the viewer already has access to. If the viewer hasn't been shared on the underlying Space, Folder or List, every card shows 0 or "No Results", even though the dashboard itself was shared with them. The only way to make the data appear is to share the source location, which exposes every task, description, comment and attachment.
Use case
Department A (for example Management or Finance) needs to track Department B's performance (for example Operations or Sales): workload, progress, overdue items and status breakdowns.
Department A should only watch. It shouldn't be able to open, edit, comment on or browse Department B's tasks, and shouldn't be able to step into Department B's work.
The same need comes up with external stakeholders and clients (guests), who should see project progress without getting into internal task details.
Proposed solution
A new dashboard sharing setting, something like "Show data using the owner's permissions" or "Snapshot access". People the dashboard is shared with see all card data as the owner sees it.
Drill-down limited or turned off for these viewers, so clicking a chart can't open the tasks underneath.
Optional: a public, read-only link for dashboards, with password protection and an expiry date, for people outside the workspace.
Admins can control which roles are allowed to use this setting.
Benefits
Cross-department visibility without loosening the permission structure.
Teams keep their own space to work while leaders and other departments can still keep an eye on things.
Less pressure to give out more access than needed, or to pay for extra seats just so someone can view a report.
Fewer manual workarounds such as PDF exports, scheduled report emails, or duplicate summary Lists.
Current workarounds and their limits
Save as PDF: manual and goes out of date immediately.
Scheduled Reports: static, sent only by email, and limited to 40 sends in total below Business Plus.
Summary Lists: you have to duplicate data and keep it in sync.
