Create a task from a calendar event
planned
Ricardo Clerigo
Some users have requested the ability to create a task from a calendar event.
eg
- sometimes i need to create a task for the appointment [booking] as well as the appointment itself.

I have not used ClickUp since we subscribed years ago because we thought the Gannt functions would work as we needed. We then tried just to get it to work with Outlook calendar, but the needed function did not exist yet. It seemed there was a function added about a year ago, but I lost track of it, being too busy. Maybe you have something for me already and I just missed it. Now, this seems promising. I think tens of thousands of people need this function for preparing for: meetings, events, contracts, travel, production, presentations, any work assignment.
Here is what I need:
We have a meeting set for the first Wednesday of every month. No problem. Can do. However, we have a large series of deadlines and tasks that need to be scheduled prior to the meeting so we can have everything done in time for the meeting. So, "9 CALENDAR DAYS PRIOR TO THE FIRST WEDNESDAY" is the deadline date and then all the tasks can be built from there. We need ClickUp to be able to set that date automatically because every month is different, but calculable. As a complication, of course, is that sometimes 9 days prior to any Wednesday is on a holiday Monday, so adjustments would either have to be made manually, or best would be to set up an option to adjust 9 days to 8 days or to 12 days for specific months.
We need that deadline date to be transferrable to Outlook Calendar or to a similar calendar in ClickUp. It would be best if we could have a Gannt chart template that would adjust for every first Wednesday.
Thank you so much for constantly trying to improve ClickUp!

I'm excited to hear this is in progress! I am unsure of the scope but here is my team's POV:
When creating an event, the option should exist to select an existing task to associate with it OR create a new task. When creating a new task from that event, here is what I believe would be ideal:
Automatically make:
- Task time estimate = meeting event duration
- Task due date = date of meeting
- Assignees = event guests (creator + invitees) who have ClickUp Users
The creator would need to select specifically for each:
- The destination list for where the task for that meeting should be added
Also, if / when changes are made to the event, automatically update the associated task appropriately. For example:
- Add or remove assignees
- if event is rescheduled, change due date accordingly
- if duration changes, change the time estimate on the task
IDEAL: Associate the link to the task inside the calendar event description.

It's shocking that this is not done.

Today, we opened an assignment for the event and a sub-task for each guest. It's very heavy to manage this in practice when we have a lot of internal meetings, and we do the same when it comes to absences. Unfortunately we were only able to use the Unimited plan today. This feature is very important to us! Will it be available on all plans? I believe it's something basic to work.

Can't wait for this to be implemented :)

As it would be great if in the planner you could link an existing priority (task) to an existing appointment (even if created outside of clickup). i.e. appointments created by my clients that are actually part or in full a execution of a clickup task

We must be able to select which calendar the event gets saved to with this Ricardo Clerigo currently that button on events does not work.
Ricardo Clerigo
Lesford “LJ” McKenzie: This is now possible - click the calendar icon on the bottom right of the card when creating an event
Lesford “LJ” McKenzie
Ricardo Clerigo no it doesn’t work as I’d expect. I can’t select between my one account that has multiple calendars. The calendars are viewable from the button in the top right but you can’t select these when switching calendars or creating a new one

Lesford “LJ” McKenzie: That's an unfortunate bug that made it to prod. It'll be fixed with the release this week (sometime Thu GMT).

Ricardo Clerigo your guys efforts are dearly noted.

Ricardo Clerigo Its working now I can select my multiple calendars thanks a ton.

It's surprising that a task/project management tool would not have "Add Task" on its calendar
Ricardo Clerigo
Yvonne @AskYvi: Surprise :-) It's now possible to add tasks to calendar. Give it a try.
