Allow Users to Time Track for OTHER Users

A project manager should be able to add time tracking attributed to OTHER users. Currently, if another user has already logged time, an admin can change it, but cannot add time for them from scratch.

It's now possible for admins to track time for other users in our timesheet! Help docs here: https://help.clickup.com/hc/en-us/articles/21302696626967-Intro-to-Timesheets
We are also rebuilding the primary time tracking component right now, which is the final milestone to complete this request. Then admins will be able to track time for other users anywhere in the app.

Hi, it is not really clear to me if this works now already or not. I tried to add time to another user his project, but the time was added to me.
Can I add time to other users now or not?
I need to do this for our teammembers. I am now an admin / how can this be changed to projectmanager? And can I add all the time myself? Or needs the user to add this himself? And can I only change it afterwards?

Manual entry on task should default to assignee, not enterer
Kevin Sundar Raj
It is common practice to have retrospective meetings where we re-organize tasks and move hours around.
When I add a manual time entry on someone's task (the task is assigned to them, not to me), it defaults to adding that time entry for me on their task.
This is unintuitive and not what you would expect as the default behavior.
The request would be to either change the default behavior or simply allow admins to select who to add the time for by clicking on the profile photo in that popup.
Brendon McCarthy
The original request calls for "Project Managers". A manager may or may not be an "Admin". We should be able to grant certain non-admin users permission to manage time for users of a team (group of users) they are a manager of.
Anthony C.
Brendon McCarthy: This will require new permissions and wouldn't be part of this project. We do have a feature request to add more permissions for time tracking and estimates: https://clickup.canny.io/feature-requests/p/granular-permissions-for-time-tracking-and-estimates.
Brendon McCarthy
Anthony C. Thanks for the reply. That's good to know. I've added my vote.
Unfortunately, in our case, this feature will be unusable as we will not make all managers admins. Additionally, we cannot adopt time tracking in general until we can effectively manage time logs.
Anthony C.
Understood Brendon McCarthy, thanks for sharing this is a blocker for your team.
Lindsay Gariepy
Is there a plan to allow admin to move other users time, currently it looks like you are only able to move your own time entries.
Anthony C.
Lindsay Gariepy: Can you share some details on the scenario where you're finding yourself with time tracked to the wrong person? This will be supported in the new time entry pop-up for admin and owner users.
Lindsay Gariepy
Anthony C. I do not have an issue there the time tracked for the wrong user. As a project manager and admin user it would be great if a user has tracked time in the wrong place if I can move that tracked time for them, instead of reaching out and having them move their time.
Carolyn Tran
how can we add time tags across multiple tasks at the same time? I have over thousands to readd the time tags and can we automate this as well so users don't have to manually add time tag like how we have this automation available for regular tags or custom field
Anthony C.
Carolyn Tran: We don't have bulk editing for time entries at this point. We do have an open Canny request for it, so please add your vote there! https://clickup.canny.io/feature-requests/p/bulk-edit-tags-on-time-tracked-tasks

Anthony C.if a admin can change, i would see a changelog if someone change my work…and who… :)
Anthony C.
Samuel Schneider: We do have activity logs on time entries, but we don't expose them in the app currently. We have been discussing how to present those and we could also look at notifications similar to what we do for changes to tasks.
Samuel Schneider
Anthony C. that would be enough.

Anthony C. I'm so happy to see progress in this area!! :) Thank you so much!
Are you having a look at the closely related issues when redesigning the time tracking component right now? I think that would be super important, so all the relevant aspects are considered in the redesign.
For that reason, I'm trying to help you from your client perspective using the time tracker each day. These are the links to the important missing functionalities (sorted by priority for us):

If you'd like to get some feedback on your redesign, feel free to contact us, we're highly interested! This part is super important for us.
Of course there are also other important missing functionalities in this area, like a "Time Tracking Manager", where time entries can be bulk managed, exported or a "Time Tracking" View (Tab) so you can see the time tracked in a project directly in that tab and work with it.
But that's not related to the widget, so out of scope here :)
sth. like https://clickup.canny.io/feature-requests/p/time-tracking-dashboard-time-sheet-chronological-visualization and similar or https://clickup.canny.io/feature-requests/p/billable-report-time-tracking-widget-show-all-entries-not-just-by-date-range
Thank you very much for finally targeting the CU time tracking that is far behind the ClickUp level so far.
Let me know, when I can help from the customer-side! :)

Anthony C. Hi Anthony, hope everything is going well.
Could you share when was this available for the first time? We tried this last week, and it added up the time entry ok in ClickUp but we have an integration through the API, and it sent the time entries to the external software as if the logged hours belonged to the admin user.
Should we try this again or might there be an issue in that specific configuration (API)?
Jürgen
Anthony C. great news, especially for meetings w/ more attendees.
Anthony C.
Julian Pustkuchen We are first focused on the usability of the component so it's quicker and easier to track and edit time entries. So we'll be resolving a number of those feature requests such as the order of time entries, reducing the number of clicks to create and edit entries, tracking time for others, etc.
Several of those you linked to are separate projects though that won't be part of this initial scope such as rounding, inactivity, etc.
For the "Time Tracking Manager" that sounds like the new timesheet we just released, though we don't have bulk actions yet, but it is a centralized location and offers inline editing so it's significantly quicker to create and edit time entries there. https://help.clickup.com/hc/en-us/articles/21302696626967-Intro-to-Timesheets. Is that what you are referring to?
Julian Pustkuchen
Anthony C. Thanks for the individual feedback! :)
Yes of course I understand that and clearly that makes sense. My point was just to ensure the
relevant aspects
from these requests for the component redesign
are on your radar already! :)All other topics should be solved separately, of course.
I also listed
slightly
related topics, for the case, that they may affect the layout / design of the new widget planning.Regarding the "Time Tracking Manager": Yes, at least the basic idea of such a central place. For our billing workflow we'd need a different UI with all tracked time entries and bulk editing, exporting etc. as written, but that's a different topic for a different issue.
Thank you very much for your work - Time Tracking is a really important part of ClickUp, which was a bit left behind so far. :)
Julian Pustkuchen
Anthony C. I created some requests for the other points (unrelated here, just FYI)
Anthony C.
Daniel Urbano: I just created some time entries for another user and then sent requests to our public API using this endpoint https://clickup.com/api/clickupreference/operation/Gettimeentrieswithinadaterange/ and verified that the user associated with each of those time entires is the assignee and not me as the admin who created them. So the API response looks correct to me.
Are you using a different endpoint maybe? Happy to dig into this one further. Feel free to email me the details.

This is awesome!
I love it.
just tried it and have some feedback
- have the option to filter users without any time tracking.
if they have any report I want to see it but if not at all I want to be able to filter them.
- I went in to go over all the non-billable time that was reported.
so I filtered for "non-billable time only" and had to go into the timesheet of the user , filltter there again for "non-billable time only" check the record and when I went back to "all timesheets" tab I had to fillter again and start it all over again.
so - if the fillter can carry on the the next timesheet and stay filtered when I go back that would be great. (similar behavior as "me mode")
and if I could extand the time time report in the main page of "all timesheets" and not change pages that would be even better.
Thanks!!
Anthony C.
Efrat Wiesner We've got a task in design right now to add filtering to people based on the amount of time they've tracked.
Thanks for the suggestions!

Great news Anthony,
I have tried this feature which is great, however, it should allow time entries for employees by admin in the TimeSheet view without having to add a row and selecting a task with it.
As admins, we need a streamlined way to track employee time for activities that don't directly correspond to specific tasks (like meetings, training, or admin work). Currently, all time entries by admin to employees in the TimeSheet view must be created by adding a row and linking it to a specific task.
ClickUp should Introduce the ability for admins to add time entries for any employee directly in the TimeSheet for any week without having to add a row and linking these entries to a specific task.
Benefits:
- Reduces the complexity and time spent on managing time entries by admin to employees.
- Enables accurate tracking of non-task-specific activities.
- Increases the usability of the Timesheet feature for a variety of needs.
Implementing this feature would make time tracking more practical for admins.
Christophe
Indeed, something that we also would need. The status says planned, does it mean that it may be something coming within the quarter or possibly way after that?
Lindsay Gariepy
It would be great if the admin could also move tracked time from one list, task or subtask instead of having to ask the assignee to delete the time and track it somewhere else.
Tom Stott
To anyone who can't wait for this - we set up individual automations based on whoever was assigned to the task - so IF Person X is assigned to the task THEN time track 1 second for Person X. Admins can then go in and edit that 1 second to make it however long they need. Works fine as an interim solution 👍
Carolyn Tran
Tom Stott: Hi Tom, what is your automation you had setup for this?
Tom Stott
Carolyn Tran: See attached. You can track just 1 second whenever someone is assigned to something which doesn't really impact billing for us and then edit that 1 second to be whatever you need it to be. Note that it shows as 1 min but it is indeed just 1 sec.
Jason Hsieh
Tom Stott: Thank you for sharing the workaround! We were running into issue on how to update other team member's time sheet.
Anthony C.

Hey Everyone! We've got two projects in the works that address this ask. One is the timesheet (https://clickup.canny.io/feature-requests/p/centralized-timesheet-view-w-multiple-view-options) where we'll have a team view that allows for quickly auditing, editing, and creating time entries for others.
The other project is a revamp of the main time tracking pop-up you see throughout the app. We'll be adding a user select to it so if you have permission, you can create time entries for others.
Luke Flegg
Anthony C.: exciting! How can I join the beta?
Julian Pustkuchen
Anthony C.: That sounds great! Hopefully the other important time tracking basic features don't get lost, like being able to set "Billed" status on time entries. Missing since ever ;)
Thank you very much for starting to improve things in this very much left behind area of ClickUp! Hope you'll get more ressouresourcesrces for this in the future!
Anthony C.
Luke Flegg: The pinned comment on the timesheets Canny request linked above has a sign up form. The team view that will allow tracking for other users will come after the beta though as a small follow up project.
Anthony C.
Yep, both approved and billed states for time entries are on our roadmap.
Julian Pustkuchen
Anthony C.: That is soooo good to hear, thank you so much. Will improve our daily work a lot, once the attributes are also available in the API, as value and filters! Thank you!!
