Feature Request: Automatic Sharing of New Docs with Super Agents
building now

I’d like the ability to automatically share all newly created Docs—including AI Notetaker meeting notes—with selected Super Agents (or specific users/teams) by default. This would eliminate the need to manually adjust permissions every time a new Doc is created, ensuring that Super Agents can immediately access, process, and act on new documentation as part of automated workflows.
Why this matters:
Saves time and reduces repetitive manual work.
Ensures Super Agents always have access to the latest Docs for summaries, automations, and knowledge management.
Improves consistency and reduces the risk of missing important information due to forgotten sharing steps.
Suggested implementation:
Allow users to set default sharing rules for Docs at the workspace, folder, or Doc template level.
Enable an option in AI Notetaker settings to auto-share meeting notes with specified Super Agents or teams.
Thank you for considering this improvement!

So, I was recently shown where you can add a Super Agent to a meeting in Planner. This is perfect for one of our Super Agents we have built for the executive assistant of our director. The agent does some summarizing and task creation after each meeting and posts the meeting notes to specific locations based on the meeting.
We just got this set up with her and there are a few things that right away we don't like about it.
- The executive assistant couldn't see the agent that we had shared with her, even though she can run it outside of planner just fine. We noticed two things that may be related. First, we had shared the agent with a team the executive assistant is a part of instead of with her directly. Second, we gave the team trigger access, not manage access. Our organizations AI committee has agreed that we can use Super Agents, but only if we follow some specific policies. One of those is that anyone who is going to manage super agents has to take a special training. Unfortunately, our executive assistant hasn't taken the training due to time constraints.
Our process to work around this was we first shared the agent directly with the executive assistant instead of the team, but that made no difference, then we tried changing it from trigger to manage. That seemed to do the trick and she could then see the agent and add it to meetings. We don't know if it was simply the manage permission or the combination of the team and the manage permission. Either way, we would prefer to be able to share the agent with a team and allow users to share the meeting docs for a meeting based on trigger permissions instead of manage.
- We know that you can add the AI notetaker to recurring meetings and you're given the option of adding the agent to either one meeting or to all of them. Usually we pick all of them so that we don't have to continually add the agent over and over again for the same meeting. We found that sharing a meeting doc with an agent doesn't follow this preference. You have to add the agent to every meeting you want it to run against. We would prefer that it follows the preference of the AI notetaker.

This works for me now. In the planner, add notetaker and add an agent. Not sure if I'm in a beta or if this is public.

Part of why we went with Agents + notetaker from clickup is seamless integration. I consider this a major gap in the process, since we have to manually move meeting notes one by one

This is something we’re actively building! Super Agents getting seamless access to new Docs — including AI Notetaker meeting notes — without manual permission steps is exactly the kind of friction we’re working to eliminate. No ETA to share yet, but you’re aligned with where we’re headed. 🚀
